What this policy covers
This Payment, Cancellation and Refund Policy explains how payments made directly to Hexallt Abroad for professional-pathway services are handled when a candidate cancels, withdraws or does not continue to a later paid service.
Hexallt Abroad provides professional preparation, documentation, recognition-process coordination, interview-readiness and progression support. Payments made to Hexallt Abroad are consideration for these defined services and are not payments for employment, professional recognition, visas or guaranteed outcomes.
Assessment services and language-training services supplied under separate Hexallt services are governed by the terms applicable to those services and are outside the scope of this policy.
1.1 This policy applies to payments made directly to Hexallt Abroad for professional-pathway services.
1.2 Depending on the pathway and service purchased, these may include:
- formal pathway registration;
- professional-recognition document review and preparation;
- VIG recognition preparation and authorised coordination;
- Registered Nurse recognition-related preparation or support where included;
- professional-readiness support;
- interview preparation and opportunity-related support;
- progression and transition guidance; and
- other professional-pathway services identified in writing.
1.3 The applicable invoice, payment confirmation, pathway description or Service Agreement identifies the service to which a particular payment relates.
2.1 Hexallt Abroad services may be divided into separate registration activities, support milestones or professional progression services rather than charged as one unexplained pathway payment.
2.2 Payment for one service does not automatically include later services unless this is expressly stated in writing.
2.3 A candidate may decide not to purchase a future service or progression milestone that has not yet been purchased.
2.4 Current fees, applicable taxes and the services included should be reviewed before payment.
3.1 A professional-pathway service is considered to have commenced when Hexallt begins substantive work relating to the service purchased.
Depending on the service, commencement may include:
- reviewing candidate documents;
- creating or organising a recognition file;
- planning document collection or certification;
- preparing a VIG recognition dossier;
- commencing authorised coordination or correspondence;
- reviewing professional-recognition requirements;
- beginning interview or professional-readiness work;
- preparing candidate-specific progression activity; or
- otherwise beginning the defined service identified in the payment.
3.2 Commencement does not depend solely on whether a final document, application, interview or outcome has already been produced.
4.1 Where a candidate cancels a paid Hexallt Abroad service before work on that service has begun, the payment may be eligible for refund.
4.2 An approved refund may be reduced by genuinely non-recoverable payment-processing charges, taxes or other amounts that cannot lawfully or practically be recovered, where applicable.
4.3 Refund eligibility remains subject to any more specific condition contained in the candidate's signed programme-specific Service Agreement.
5.1 Once work on the particular paid service has begun, the associated service fee becomes non-refundable unless a different written condition applies.
5.2 This reflects the professional and administrative work already committed to the candidate's individual case.
5.3 A candidate's later decision not to continue the wider pathway does not create a refund right for a service that has already begun or been delivered.
6.1 Candidates are not required to pay for a future Hexallt Abroad service merely because they previously purchased an earlier service.
6.2 A candidate may stop before purchasing a later service, subject to any existing contractual obligation.
6.3 No payment is due for a future service that has not been purchased.
6.4 Withdrawal from the wider pathway does not make an earlier service refundable if that earlier service has already commenced or been delivered.
7.1 Fees payable to professional authorities, examination providers, government bodies, document issuers, certification services, translation providers or other independent third parties are separate from Hexallt Abroad fees unless expressly included in writing.
7.2 External fees are governed by the terms and refund rules of the organisation receiving the payment.
7.3 Hexallt Abroad cannot refund a payment made directly to an independent authority or provider.
7.4 External costs may change without Hexallt Abroad's control.
8.1 Hexallt Abroad fees are paid for defined preparation, coordination and support services.
8.2 Refund eligibility is therefore not determined by whether a candidate ultimately:
- receives professional recognition;
- passes an examination or professional assessment;
- receives an employer interview;
- is selected by an employer;
- accepts or declines an employment offer;
- receives a visa, work permit or residence permission;
- relocates to another country; or
- progresses into a particular professional role.
8.3 These outcomes depend on candidate performance and decisions made by independent employers, regulators, examination bodies and government authorities.
9.1 If Hexallt Abroad permanently discontinues a prepaid service before it begins for reasons unrelated to candidate conduct, Hexallt will offer an appropriate alternative, credit or refund for the undelivered service.
9.2 Where a service has been partially delivered and Hexallt is unable to complete the remaining portion for reasons within Hexallt's responsibility, an appropriate remedy will be determined according to the undelivered portion and applicable law.
9.3 This provision does not apply merely because an independent employer, authority or third-party process changes, delays or refuses an external outcome.
10.1 Where a refund is approved, the refundable amount may be reduced by:
- non-recoverable payment-gateway or transaction charges;
- taxes already remitted where they cannot be recovered or adjusted;
- other non-recoverable charges directly associated with the transaction; and
- the value of any service already supplied where a partial remedy is applicable.
10.2 Deductions will be applied only where relevant and to the extent permitted by applicable law.
10.3 A candidate may request clarification of the refund calculation where deductions have been applied.
11.1 Cancellation or refund requests should be submitted through an official Hexallt Abroad contact channel.
The request should include:
- candidate's full name;
- registered email address or telephone number;
- invoice, receipt or payment reference;
- date of payment;
- service to which the payment relates; and
- reason for cancellation or refund request.
11.2 Hexallt may request additional information where reasonably necessary to identify the payment or determine the service status.
11.3 Approved refunds will normally be returned through an appropriate payment method. Processing time may depend on the payment provider, bank and transaction method.
12.1 This policy should be read together with the Hexallt Abroad Terms and Conditions and any programme-specific Service Agreement signed by the candidate.
12.2 The signed Service Agreement is the principal document governing programme-specific services and may contain additional payment or cancellation conditions relevant to that programme.
12.3 If a programme-specific Service Agreement contains a more specific term relating to a service covered by that Agreement, that term applies to the relevant service, subject to applicable law.
12.4 Nothing in this policy limits any statutory right or remedy that cannot lawfully be excluded.
